Hey, Did You Know?
If a dinner party is not an economical option, but gathering over appetizers is, then how many appetizers should you plan per person?  Use the guideline below to keep your guests with plenty to eat!
 
5-10 guests - Serve three types of appetizers and 10 total pieces per person.

10-15 guests - Serve four types of appetizers and 10 total pieces per person.

15-45 guests - Serve six types of appetizers and 12 total pieces per person.

45+ guests - Serve eight types of appetizers and 12 total pieces per person.

Note:  Recommendations are based on equal distribution of women and men guests.

Making Sure Your Autumn Activities Fall Into Place
 
Have you been there, done that with bobbing for apples, scary themed food, fake cobwebs and black & orange ruling your Fall event/party scene? We are too and have been looking at ways to re-style Fall!  While on our search through our contacts and leading event and meeting planning resources, we've come upon new trends to pass on that might inspire you to change-up the way you think of Fall for business development or home entertaining.
 
Create a Scene in a Flash
Bypass the standard December holiday party and consider throwing a tailgate party at one of your area's local sports games.  Whether it's for employees, clients or friends, take tailgating to a new level by creating a "flash mob" scene at your party.  With a little pre-planning and help from flashmob.com, you can organize not only guests, but anyone who wants to join in to create a dance routine to the team's fight song or have everyone freeze into a sports themed pose...whatever you desire!  Imagine hundreds of people in a stadium parking lot gathered at the same time to do a routine at a moments notice. Check out an example here. This memorable spectacle will not only engage guests, but make your party the hippest in the parking lot.
 
Guests are Just a "Tweet" Away!
Try using virtual ways to entice and communicate with guests using Twitter, Facebook and LinkedIn to build interest and excitement for your party/event.  Pros like Jennifer Castro, Dual Market Sales Manager from Dave & Busters recommends trying all three of these social media sites.  "These sites allow you to reach not just the people you know, but also the people that are looking for the type of events you are promoting.  Social media is powerful because you can promote your events on these free sites and your audience reach grows exponentially with very little effort," said Jennifer Castro. The buzz created is key to making sure the guests arrive in force, pumped and ready to have fun.  Be sure to keep "tweeting" from the party to share the experience with those who didn't show, it could increase your chances of getting them to come next time.
 
Changing Palettes
Parisian runways, pantone.com and purveyors of linens are key players in influencing color in fashion, décor and design.  This autumn, Grey (charcoal or pewter) is the new brown and the top ten "in" colors (listed to the left) include a colorful combination of subtle hues.  Try pairing Burnt Sienna with Rapture Rose to create the look of an autumnal sunset or pattern the illusion of changing leaves with Warm Olive, Honey Yellow, Purple Heart and American Beauty.  A few tricks to change up the mood in a room without spending your paycheck on décor might include asking your guests to come dressed in one color hue.  It's a simple way to interject a color theme without having to spring for it yourself, then replace white light bulbs with soft pink, re-arrange the furniture into conversation clusters, set out a few candles, add cut greens from your yard and you'll treat your guests to a warm and inviting space to mingle.

Economical Eats
Looking to scale down the cost without compromising flavor?  Try these trendy new ways to save cash on the bash!
  • Think about paring down the 4 hour formal dinner to a 2 hour dessert party at home or in the office.  Dream up a stylish dessert table like this one created by candy queen Amy Atlas then add to the color theme with fresh French macaroons or edible glitter bonbons like those we just enjoyed at our local International Special Events Society Chapter Gala.
  • Instead of an office party out...stay in and host an artisanal office pizza party and gelato bar. Toss in a photo booth and a little Michael Bublé music and you'll have the makings of a fun night.  
  • To keep it simple at home, invite people over for movie night to snack on popcorn buffets with the latest flavors to pop on the scene including lime & chipotle salt, non-alcoholic beer and cocktail drink flavored creations like Pina Colada and Irish Crème from Pub Corn.  We also loved the veggie bundles we munched on at a buffet display by Aventura Catering at the opening of the Executive Conference Center Phoenix Convention Center.

Think Ahead
Make sure that you are providing a safe environment for your guests, and remove any possible dangers.  Have phone numbers to cab companies for those guests who have been drinking.  If you are having your party outside, plan for bad weather.  Be aware of noise violations and community parking policies.  Invite your neighbors, or at least inform them about the party so they are aware of what's going on.  They will appreciate the courtesy. 
Employee Spotlight
 
From tech savvy to green guru, members of our team at one time or another play a key role in the success of a client program. Over the last year, Meeting Coordinator, Alejandra (Alex) Trujillo has risen above to use her Spanish speaking skills to maneuver through complex hotel logistics and communicate with conference attendees from Cuba to Chile.
 
International programs can be a challenge, especially with language barriers.  When KCA was hired to manage a program in Mexico City, KCA's owner Kate Christensen knew Alex would be our go-to-gal and what an asset she turned out to be.  "Alex was the beam of light guiding our team with her perfect Spanish linguistic ability.  She saved us so much time and built an incredibly positive relationship with the attendees, property and vendors," said Christensen.
 
Alex's hard work and talent is also recognized by her co-workers.  "Just when I think my workday is hard, I'll hear Alex switch effortlessly between English and Spanish as she multi-tasks her way through the day.  My "cabeza" hurts just thinking about it," says Leslie Honaker, VP of KCA. 
 
Her understanding of the language is not just about communicating, she digs deeper to plan programs with cultural integrity to honor the attendee and exceed client expectations. She's also broadening her horizons as she's interested in learning French, so watch out, Alex will most likely "parlez avec vous" soon!
Passing it Forward...Evaluating Risk
 
Our team attended the 2009 Arizona Meeting Professionals International Summer Education Forum in Prescott, Arizona. One of the highlights was a session by Roger Rickard of REvent, LLC who presented on Risk Management. We were reminded that evaluating risk is an important part of everyday life.  From something as simple as making sure your car tires have the appropriate air pressure to choosing a route home from work, we are constantly evaluating risk.
 
When it comes to business meetings or social gatherings the evaluation of risk is often overlooked.  Your guests are your responsibility and it is your responsibility to inform them of any known hazards.  

Vital steps to conduct an appropriate risk management plan include:

Assess the situation
Plan for risks
Manage risk
Control the situation

The acronym of APMC can help you remember these steps and ensure a complete process.

Risk management is about asking the right questions.  Such as...are there fire exits?  If planning an event at a hotel or convention center, get a copy of the emergency plan. Do any of your guests have major medical problems?  If you are in a different city, find out where the nearest emergency room, fire station, and police station are.  Are there any dangerous areas your guests should avoid?
